What Will I Need to Rent?

A basic rental list will usually include the following items:

1. Tables:

  • Choose from a variety of sizes in rounds, rectangles and squares
  • Do you need to provide umbrellas for shade?
  • In addition to seating for your guests, don’t forget tables for the following:
  • Sign In - Gifts - Favors - Place Cards - Cake - Food and Drink - Head Table - Coffee Service - DJ

2. Chairs:

  • What color? – white, black, ivory, natural or dark wood
  • What style? – Chiavari, plastic or wood folding
  • Will you need 2 sets of chairs? (ceremony & reception)

3. Linen:

  • What color? Do you prefer a solid or a print?
  • What kind of fabric? Polyester, Cotton Blend, Lamour, Crush, Silk, Organza etc. A specialty linen can really help create the mood and enrich the look and feel of your event. Remember, white can be quite reflective in the mountains, so you might consider a softer ivory for your outdoor summer wedding.
  • Will napkins be the same or an accent color, do you want to add an overlay?
  • How far down do you want the linens to hang – ½, ¾ length or to the ground?
  • Table runners, chair covers and chair ties are all available to add the finishing touches.

4. Dinnerware:

  • Choose a style of china to suit the mood of your wedding.
  • We charge per piece, not per place setting.
  • If a buffet, order 10% more dinnerware than the anticipated number of guests.
  • Don’t forget the platters if you choose “Family Style” dining.
  • If a sit-down dinner, order one setting per person, whether or not every piece is actually used.
  • Discuss your requirements with your caterer or event coordinator – they will be able to advise you on what to order based on your menu selection, staffing, event site etc.
  • Disposable items might include: cocktail napkins for appetizers, paper plates for cake, plastic glasses for beer.
  • Don't forget items for your coffee service station.

5. Glassware:

  • Select the correct glass for the drinks you are going to be serving.
  • Don’t forget champagne glasses for the toast!
  • If you're setting glassware at the tables for the meal, you will need to double up at the bar.

6. Sound System:

  • If you are getting married outdoors and have a large guest count and want to ensure that everyone hears the ceremony, consider renting a P.A. system. Call us to discuss the best sound system for your location.

7. Dance Floor:

  • Anticipate that about ¼ to ½ your guests will dance at any one time, and plan on about one couple per 3’ x 3’ dance floor section.

8. Tenting:

  • To determine what size tent you need, you must first decide what it is being used for: is it going to cover the whole reception or is it just for the food?
  • A certain amount of space has to be allowed for each and every item under a tent and once all these items have been accounted for, the final square footage of the tent can be worked out.
  • Do you want sidewalls?
  • What kind of surface is it going on – can it be staked?
  • Please call us for details of our tent policies and procedures if you want to reserve a tent just in case of inclement weather.

9. Lighting:

  • The “Piece De Resistance” for any Elegant Affair our “Shabby Chic” Chrome and Crystal Chandeliers will dazzle you and your guests providing a magical memory.
  • Other mood lighting options include spot lights, up lights, mirror balls, paper lanterns and colored L.E.D.’s

10. Heating:

  • Even on hot summer days, it can become quite cool in Tahoe once the sun goes down and you might consider renting some heaters or a fire pit to keep your guests comfortable as they party into the small hours! An outdoor heater will warm up to a radius of 12’-15’

11. Wedding Arches:

  • We have a variety of arbors to choose from, from simple trellis arches to gazebos.
  • Perfect for framing your ceremony or the cake!
  • Most of our arches are 5’ wide x 7’ high.

How Much Will It Cost?

Every wedding is unique, every bride’s vision of her wedding day is different and budgets range from high to low – it is therefore very difficult to say exactly how much wedding rentals will cost without going through the consultation process.
